Payment & Agreement

The agreement between you and Kicks and Tricks Ltd begins at the point where a payment is made, whether in part or full, and is when these booking conditions apply from. This agreement is with you, as the person who made the booking, and you are responsible for ensuring any parent/carer related to this booking are aware of, and accept, these booking conditions.

Payments

We accept payment by credit/debit card via our booking site, Bookaby. Unfortunately, we cannot accept payments by American Express, PayPal or cheque. There are no charges for credit/debit cards.

All bookings must be paid before a child will be allowed to enter into camp/club.

Confirmation

Your Booking Confirmation confirms what you have booked. Please check it, including dates and personal details. Responsibility for all booking details lies with the person who made the booking. Consumer Rights - as you’re booking a service with specific dates, the 14-day cooling off period does not apply, however if your confirmation is not what you expected please tell us within 5 working days, we’ll change it if we can, or refund you if we can’t. After 5 working days our normal cancellation and booking amendment terms will apply.

Changing Weeks/Days

With our ‘Safe Booking’ booking option you can change your dates within the same operating half term, up to 4pm the day before your booking is due to commence, subject to availability on those days. With a ‘Non-Safe Booking’ booking, you can change your dates within the same operation half term, up to 14 days before your booking is due to commence, subject to availability.

Illness/Injury

Kicks and Tricks Ltd cannot offer a refund unless you have taken out "Safe Booking". Even on the day of the booking you can use "Safe Booking" to get a full refund (not including the "Safe Booking" fee) or, acquire a Coupon for you to use for a future booking.

Cancellations

You will only receive refunds for cancellations you wish to make if you have booked our ‘Safe Booking’ booking option. ‘Non-Safe Booking’ bookings will not receive a refund or credit for any payments in part or full under any circumstances. Where the full balance has not yet been paid and part of a booking is cancelled, the deposit for this part will be retained and cannot be used as part payment towards the remaining balance of this or other bookings.

Paying with Childcare Vouchers

Kicks and Tricks Ltd will accept all childcare vouchers (CCVs) as a form of payment for bookings. Your booking will not be confirmed until we receive and process your CCVs. After receiving your booking confirmation email, please contact your childcare voucher provider and quote your booking reference number. Your childcare provider will then contact us to arrange payment. You will receive another order confirmation email from us when the voucher has been processed. (Note that Edenred does not give refunds).

Tax-Free Childcare

Kicks and Tricks Ltd will accept payments through Tax-Free Childcare. You are required to send proof of payment for the booking to be accepted.

Discounts

Discount codes can be applied to either bookable items or an entire basket dependent on the code you have received from the company. Discount codes may not be applied to Early Risers (8am-9am) and Extra Fun (5pm-6pm) camp bookings. They may only be used against the camp Day Rate (9am-5pm) or any wraparound care.

Extended Care at Holiday Camps

Our standard extended care hours are 8am to 9am and 5pm to 6pm and can be booked at an additional charge of £5 a day per for each child. Some venues times vary however, this will be fully advertised. Extended care can be moved up to 48 hours before the day starts free of charge. Extended care must be booked with a minimum of 24 hours notice, otherwise Kicks and Tricks may have to decline the Early or late booking. Your child’s information

It is the responsibility of the person making the booking to ensure that all details provided are accurate, in particular full information about each child, including medical and other special educational needs, and emergency contact information. If we do not have all this information before camp/club starts, your children will not be allowed to attend the camp/ club. Ensure you have ticked the 'Opt-out' box at the time of booking if you DO NOT want your child's photo taken (where it may be shared on our social media, website or other advertising formats).

International Bookings for Holiday Camps

Children booked from overseas are expected to have a basic level of spoken English so that they can follow the instructions from the leaders and are able to communicate their needs as well as interact with other children on a basic, social level. We require a local telephone contact number and address once you are in the UK, in case of an emergency.

Special requirements and Staff Ratio

Kicks and Tricks Ltd recognises that the needs of individual children vary, and will endeavour to accommodate children with specific needs and/or medical conditions within the camp/club environment. Where possible we will not exclude any child due to specific needs and/or medical conditions, we will do our best to meet every child's individual needs and requirements.

It is the responsibility of the parent/carer to inform us of any medical conditions and special educational needs or disabilities where particular support is required to ensure they have an enjoyable day/session. If this is the case we would like to have a further discussion with the parent/carer over the phone or via online video call, so we can discuss how best to accommodate the child, and consider whether any reasonable adjustments can be made to ensure they are able to fully participate and enjoy the activities at camp/club within the staffing ratios provided for their age group. The needs of each child vary so decisions are made on a case-by-case basis and depend upon the level of support each individual child may require.

At Holiday Camps, we are not able to provide additional staff to support a child above our standard ratios of 1:8 for 4 to 5 year olds, 1:16 for 6 year olds and over, irrespective of any specific needs or medical conditions. For camps and clubs, where we feel that a child is not coping within these ratios, we reserve the right to ask the parent/carer to come and collect their child. No refund will be available.

                       

At hHoliday camps, where a child does require one-to-one support, Kicks and Tricks Ltd will permit parents/carers to attend camp to support their child, providing that safer recruitment, safeguarding and cleared DBS are met. Kicks and Tricks Ltd can try to provide one-to-one support for a daily fee of £100 a child to cover the additional staffing costs.

We are happy to accommodate a child with specific needs on a paid trial basis and reserve the right to review further bookings.

Illness and First Aid

Kicks and Tricks Ltd requires that all children who are ill or infectious be kept home for the full duration of their ailment, and for 48 hours after the last symptom occurs. Kicks and Tricks Ltd will only administer medication if it has been prescribed by a doctor or other health professional and the Medical Authorisation form has been completed at the start of the day stating dosages and timings of said medication.

In the event of an accident, first aid will be administered to children by a Paediatric First Aider, and the emergency services will be called if necessary.

Essential prescribed medication including EpiPens must be handed in to the Head Coach and will be passed onto the specific coach running the session for the aforementioned child.

Child Exclusion

Kicks and Tricks Ltd has a responsibility for ensuring the well-being and safety of all children in our care and have approved procedures for managing behaviour, in line with our policy. The company follows a zero tolerance policy on discrimination, bullying and persistent poor behaviour of any kind, irrespective of any special needs. On rare occasions, and in more serious cases, we reserve the right to ask parents to remove children from camp/club either for the remainder of the day/session (part exclusion), or for the rest of the school holiday/term (full exclusion). No refund will be made for any remaining days booked in that week, and any costs associated with the exclusion will be the parents’ responsibility. The parent/carer will be expected to come and collect their child.

Late Pick-up

All children MUST be collected by 6pm (unless timings are otherwise specified at time of booking). If for any reason you are unable to collect by 6pm, we ask that you call the Head Coach or Head Office as soon as possible. Two members of staff will wait with your child until they are collected. You will be charged a late pick-up fee of £15 for every 15 minutes after 6pm to cover the additional staffing costs. If we have no contact from a parent/guardian by 6.30pm, we will contact Social Services to advise them we have an uncollected child. We reserve the right to refuse future bookings from parents who continually pick up late.

Notice of Absence

If a child is not attending a scheduled day of camp or wraparound session, parents/carers must telephone the Head Coach or Head Office to allow us to update records.

Programme and Activities at Holiday Camp

From time to time, we may need to change venues, dates, activities and courses for reasons within or outside our control.

Holiday Activity programmes are subject to change in the event of unsuitable weather or other circumstances beyond our control. Timetables displayed on camp are a guide and are subject to change. Specific extra activities such archery are scheduled in as much as possible, however, if you are booking individual days, we cannot guarantee these activities will fall on those particular days.

In exceptional circumstances we may have to cancel particular dates at a venue, and in this event, we will try to give those booked onto the programme at least 14 days’ notice and will offer a suitable alternative if one is available, or refund all money paid for the dates cancelled, if preferred.

Personal Property

All your child’s personal property is your responsibility and Kicks and Tricks Ltd is not liable for any lost or damaged property at camp/club. If you believe that your child has left an item at camp/club, please contact the Head Coach or management team who will do their best to assist you. Lost property will remain on camp/club until the last day of the holiday/term and should be collected before the end of the last day. Unclaimed lost property will be taken back to Head Office stored for two weeks and then donated to charity. We are unable to return any items to you from Head Office unless collected from our head office. Items will not be posted to you.

Mobile Phones and Electronic Devices

All mobile phones and electrical devices are prohibited at camp/club. If found, children will be asked to place the device in the Head Coach’s box which will be locked and secured at all times. The device will be returned to the authorised parent/carer at the end of the session. If you need to send your child with their own mobile phone for safety reasons, please let us know at drop-off and we will securely store it. During wraparound, school policies for mobile phones will be adhered to.

Insurance

All children in our care are covered by our Public Liability Insurance.

Photography / Filming

Please be aware that Kicks and Tricks Ltd occasionally take photographs and video footage of children at camp/club for promotional reasons and are likely to upload onto various social media platforms to keep parents up to date with what is going on. Parents must 'Opt-out' of this at the time of booking, or if you change your mind you must let Head Office know as soon as possible. Kicks and Tricks Ltd will not be held responsible for posting photos and/or videos where a parent has failed to 'Opt-out', has since changed their mind but has not let us know as soon as possible.

Parent Feedback / Complaints

If you have concerns or suggestions, please tell us - we value your feedback and use it to develop and improve our services.

If you have a concern regarding camp/club, this should initially be raised with your Head Coach. If you are unable to resolve the issue, contact Head Office on 07939501775. In the unlikely event that your complaint cannot be resolved, you may wish to contact Ofsted on 0300 123 1231.

Safeguarding

Kicks and Tricks Ltd has legal obligations in relation to safeguarding and any suggestion of child abuse or neglect will be investigated and reported to our regulator, Ofsted, or relevant local authorities and agencies. All staff on site will have safeguarding training and Management Team will have level 3 safeguarding training.

Data Protection

Kicks and Tricks Ltd is registered as a Data Controller under the Data Protection Act 1998 (GDPR). To process your booking, we use a booking platform called Bookaby who do need to collect personal details about you and your children. Bookaby keeps your details confidential and secure, complying with all relevant UK legislation. We will use your email address and telephone number to contact you with information that relates to any bookings that you make and any information that we might need that relates to the welfare of your child. We would also like to use some of your details to tell you about our products and services, and those of our parent/sister organisations and will ask for your consent during the registration / booking process. BY BOOKING, YOU ACCEPT THE FOLLOWING: Booking and Payments Children must be registered to attend a Kicks and Tricks Ltd course or coaching session. Kicks and Tricks Ltd will not accept children who turn up for a course or coaching session without a prior booking.

Refunds The team at Kicks and Tricks Ltd are understanding of changes of circumstances and are willing to change the date of coaching sessions in some circumstances. If together, with the parents/guardians, we are unable to reschedule the session then a refund will be issued at the discretion of the Management Team. Make contact via email or phone at your earliest opportunity.

Personal Acceptance Kicks and Tricks Ltd accept no responsibility for loss, damage or injury caused by or during attendance on any of the organised activities except where such loss, damage or injury can be shown to result directly from the negligence of the Coaches or Kicks and Tricks as a company.

Children's photographs may be taken and used for promotional purposes, unless you 'Opt-out' on the registration form.

I will ensure my child has the correct equipment and clothing. For children above the age of 4 shin pads are advised (football only).

Illness and First Aid Kicks and Tricks Ltd requires that all children who are ill or infectious be kept home instead of attending a coaching session. In any instance where a child is in attendance at a coaching session without a parent/guardian then any medication prescribed by a doctor or other health professional can only be administered following the completion of the Medical Authorisation form, which will be given to you by the Head Coach upon your request.

In the event of an accident, first aid will be administered by a Paediatric First Aider, and the emergency services will be called if necessary.

Essential prescribed medication including EpiPens must be handed to the Head Coach at the start of each and every session.

Epi-Pen Policy Whether it is nuts, dairy produce or hay-fever it is imperative that we know of anything that may cause your son/daughter to have an allergic reaction and any medication they are taking to deal with this. For severe allergies, children may need an EpiPen. This is a small auto injector of Epinephrine (a.k.a adrenalin) which is used in medicine to treat anaphylactic shock. Our staff members are not currently qualified to administer EpiPen; however they are permitted to do so if we receive a Medical Authorisation letter from the parent/guardian. The Medical Authorisation letter must contain clear instructions, be signed, dated and submitted prior to the activity.

Birthday Parties Birthday party services can be booked via email or telephone. Once an Information Collection Form has been completed, signed and returned, we will send email receipt with a final quote based on any bespoke extras.

A 20% deposit is required in order to complete the booking of the services. The balance is due on the day of the party, preferably on arrival.

Bookings can be cancelled and a full refund given if Kicks and Tricks Ltd are notified in writing no later than 28 days before the party date. Any cancellations by the customer after this time will be accepted but the security deposit will not be refunded.

Kicks and Tricks Ltd accept the hiring terms as set out by each individual venue and do so in partnership with the customer or individual hirer.

Intellectual Property Rights Unless otherwise indicated, the Content of the Site, service marks and logos contained therein are owned or controlled by Kicks and Tricks Ltd.

The Content is provided on the site “AS IS” for your information and personal use only. Except as expressly provided in these Terms and Conditions, no part of the Site or Content may be copied, reproduced, aggregated, republished, uploaded, posted, publicly displayed, encoded, translated, transmitted, distributed, sold, licensed, or otherwise exploited for any commercial purpose whatsoever, without our express prior written permission.

Provided that you are eligible to use the Site, you are granted a limited license to access and use the Site and to download or print a copy of any portion of the Content to which you have properly gained access solely for your personal, non-commercial use. User Representation By using the Site, you represent and warrant that:

Agreement to Terms These Terms and Conditions constitute a legally binding agreement made between you, whether personally or on behalf of an entity (“you”) and Kicks and Tricks (“we,” “us” or “our”), concerning your access to and use of the [website name.com] website as well as any other media form, media channel, mobile website or mobile application related, linked, or otherwise connected thereto (collectively, the “Site”).

You agree that by accessing the Site, you have read, understood, and agree to be bound by all of these Terms and Conditions.
